Why is APeX System being upgraded to Epic version 2017?

UCSF upgrades our APeX system every 18-24 months to stay on the current version of the Epic software.  Our last APeX system upgrade was in January 2016, so we need to complete another upgrade by the end of 2017.  We try to stay on the most current version of Epic software for the following reasons:

  • Required to keep Epic vendor support & receive Epic incentive discounts
  • Get available system fixes that impact existing workflows
  • Take advantage of new Epic features & functionality
  • Move UCSF East & West Bay systems to the same Epic version

How will the APeX 2017 upgrade impact me?

Clinical systems teams for East & West Bay are working together to review release notes and pulling operations together to make joint decisions on new functionality.  By upgrading East & West Bay together in a single project, we save money and work to standardize the build in our two systems.  This will reduce maintenance costs and is also an important first step to the ultimate goal of combining East & West Bay users onto a single instance of APeX system.

Clinical systems teams are working with operational guides to determine which enhancements we should implement and also share impacts from automatic changes coming in the new Epic 2017 version.  As we get closer to the upgrade go-live dates, training teams will work with operations to provide training materials and make sure users are ready for the Epic 2017 version.

There will be a system freeze 3 weeks prior and 1 week after the 2017 upgrade to minimize changes and allow clinical systems teams to focus on their upgrade tasks.

East Bay (BCHO)

  • Soft Freeze 10/3 – 10/15
  • Hard Freeze 10/16 – 10/22
  • Upgrade Go-Live 10/22 2-4am
  • Soft Freeze 10/23 – 10/29
West Bay (UCSF)
  • Soft Freeze 10/23 – 11/3
  • Hard Freeze 11/6 – 11/12
  • Upgrade Go-Live 11/12 2-4am
  • Soft Freeze 11/13 – 11/17
