UCSF Exchange/Office 365 email recovery

Microsoft’s Exchange Online service protects UCSF mailbox data by replicating mailboxes to multiple databases at different Microsoft datacenters in the United States. In the event of a failure at one of the sites, traffic is diverted to another datacenter with minimal service interruption.

For mailbox items that are deleted from a mailbox, Exchange Online offers a Deleted Items folder and a Recoverable Items folder. Items that are deleted from folders such as the Inbox, Sent Items, or the Calendar, are moved into the Deleted Items folder. There are no system policies to automatically delete items from the Deleted Items folder. If a hard delete (holding down shift key and pressing delete key) is performed on a mailbox item or a user deletes an item from the Deleted Items folder, the item is placed in the Recoverable Items folder. Items remain in the Recoverable Items folder for up to 30 days. Microsoft’s SLA commits to providing at least 99.9% uptime for Office 365 services.

UCSF IT has actively engaged with Microsoft and they are investigating the issue. If you are missing data, submit a ticket via the IT Service Desk.
