APeX Disaster Recovery Exercise

To ensure APeX readiness for an unexpected disaster and for UCSF to achieve specific accreditation required for future implementations, UCSF IT is conducting a disaster recovery event impacting all APeX users starting March 17, 2:00 a.m. and ending March 24 at 3:00 a.m.
There are two scheduled downtimes each lasting 1 hour where ApeX will be Read Only:
- Tuesday, March 17, from 2:00 a.m. – 3:00 a.m.
- Tuesday, March 24, from 2:00 a.m. – 3:00 a.m.
After the first scheduled downtime is concluded and the system is brought back online, APeX will function normally, and users will launch and document in APeX as usual. No changes to normal processes will occur during this time. The exercise will conclude with a second downtime on March 24 from 2:00 a.m. – 3:00 a.m.
During the two scheduled downtimes, APeX will be Read Only. Please see below for information. For more detailed information, please see the APeX Downtime Flyer or APeX Downtime Binder available at all nursing units.
APeX access (viewing or printing reports)
- Customers will NOT be able to connect to the APeX production environment from Medical Center computer desktops or via the web access portal (https://connect.ucsfmedicalcenter.org).
- Customers and patients will NOT be able to access their records during the downtime via https://www.ucsfhealth.org/ucsfmychart. Customers accessing the site will receive a message that the site is down for maintenance.
- APeX Read Only will be available on all PCs during this downtime to view patient information. To access, click on the Windows Start Button -> All Programs -> APeX Read Only, and log in using your standard username and password.
- Epic-Crystal Reports - All Epic-Crystal reports in APeX will be available
APeX documentation/orders
- APeX will NOT be available for documentation and ordering during the two downtimes.
- APeX DOWNTIME/BCA computers will provide view of eMAR and ability to print MARs for downtime.
- Print your patients’ MARs, ONLY AS NEEDED, for your unit at 0115 hrs on Tuesday, March 17th and at 0115 hrs Tuesday, March 27th.
- Documentation completed on paper is required to be back-charted into APeX after this maintenance event.
- All results will be held in interface queues and processed when the system returns to service.
Patient wristbands will NOT auto print
- Wristbands can be made with a handwritten or existing patient label in the interim, but MUST be replaced with APeX wristbands after this maintenance event.
Pharmacy Medications / IV solutions needed will be requested proactively from Rx prior to 0159 hrs on March 17th and prior to 0159 hrs on March 24th.
Pharmacy Pyxis MedStations – West Bay, BCH – Oakland, and Marin
- Pyxis WILL be on critical override until interfaces are synchronized at approximately 3:30am.
- Patient medication orders may not be current.
- Patient list may not be current. Customers can add patients manually in Pyxis by entering patients’ CSN.
Pharmacy Pyxis MedStations – BCH – Oakland
- For any new medications during the APeX system downtime:
- Any new medication not on the patient’s profile will be dispensed from the inpatient pharmacy. Controlled Substances will be dispensed using the PML process for dispensing and documentation of waste. Please follow all downtime instructions and send new orders to the pharmacy via the tube system.

- Test results and new orders may experience delays until 3:30 am.
