UCSF Box Deprovisioning Process

An email reminder is sent to a Box user and their supervisor to transfer ownership of their files before they separate from UCSF to prevent the loss of access to shared content immediately upon the user’s separation. 

NOTE: If the person leaving is still a part of UCSF, he or she can transfer folder ownership by following these instructions.

When someone separates from UCSF, the person's Box account is deactivated within 24 hours and only retained by Box for 90 days. 

  • Once the Box account is deactivated, the separated user's supervisor will receive all their content and an email notification telling them. 
  • If the user's supervisor cannot be found, the content will be transferred to a holding account, and emails will be sent to each collaborator asking them to request ownership of the content.  

After the 90-day data-retention period the separated user's Box account will be removed. 

UCSF Box Reprovisioning Process

If a separated user returns to UCSF within 90 days, we automatically reactivate the user's Box account. 

If a separated user returns to UCSF more than 90 days after separation, a new Box account is created on login. The data they owned before separation stays with their manager, or users we transferred their content to, and will need to be shared back to them by the new owner.
