Timesheet Review
-
Navigate to the New UX
-
Navigate to the Timesheets page via the icon on the left-hand side menu.
-
Click on the Timesheets tab at the top of your screen.
- There are a number of saved Views which have been created in the system. To find the view applicable for your department, click on the View drop down menu in the top right-hand corner and select your view.
-
This will display a number of default filter options, which will help you to refine your search results. To view the parameters which have been set within the filter, click the filter icon in the top right-hand corner.
-
You will now be able to view the filter options which have been saved against the UCSF IT Open Timesheets view. This view displays IT resources for a specified date range, where the timesheet status is either Open, Submitted or Returned.
-
From here you can tailor your filter options to suit your needs. If you wish to update the Time Period Start Date, click on this item within the filter to display a calendar where you can refine your date range. You can also change the status to look at Posted timesheets to review timesheets that have already been posted.
Note: Time Periods will always start on a Sunday.
-
If you wish to add additional filters, such as Resource Manager, click on the Add Filter section in the top left-hand corner.
-
Search for and click on the Resource Manager field in either the Recently Used or the Others section.
-
Leave the value set as Contains and add last name to the field below.
-
After you have entered the name, click away from the filter field in the ‘white space’ to the right. This will apply your filter and your results will be displayed.
-
You can also add additional filters as necessary, such as Active. This will then show you only resources that are active.
NOTE: If you need to track resources who have recently left the organization, you may not wish to add the Active filter.
-
Select Active Is Equal To Yes.
-
And again, click on the white space to apply the filter.
-
It is best practice that resource managers should be checking on time sheet submissions on a weekly basis. However, it is a good idea to conduct regular searches going back three months into the past, to ensure that there are no missed timesheets.
Exporting
-
If you wish to export your timesheet data to Excel, click on the Export to CSV icon in the top left-hand corner.
-
Your web browser will determine how your download is received.
-

-
For Google Chrome, it will appear in the bottom left-hand corner of the screen.
