Getting Started Using Zoom Workspace on Mobile Devices

With the demand for space increasing at UCSF, Zoom Workspaces was implemented to assist with the reservation and usage of space. The following instructions will assist you with using Zoom Workspaces on mobile devices to reserve space when you are working on campus.

  • Book a workspace or room
  • Create a Recurring Workspace Reservation
  • View, edit, or delete upcoming reservations
  • Delete a reservation using your avatar on the floor map
  • Check in and out of your reservation

Book a workspace or room

  1. Open the Zoom mobile application on your device. 

  1. Select the ... More option before selecting Workspaces.

  1. On the Workspaces screen, you will see the current time period and location information. You can also filter by certain attributes or views.

  2. Select the + before selecting the Reserve a desk or Reserve a room option. NOTE: Zoom Workspace will auto-select a desk or workspace to reserve from available spaces.

  3. On the space's detail screen, verify the date, start and end times of the reservation.

  4. Select the Reserve button to reserve the desk or workspace.

  5. Congratulations! You have successfully reserved a workspace or room in Zoom Workspace on a mobile device.

Create a Recurring Workspace Reservation

If you have a consistent on-campus work schedule, setting up a recurring workspace reservation will ensure you have continuous access to your preferred workspace. 

  1. Open the Zoom mobile application on your device.

  2. Select the ... More option before selecting Workspaces.

  3. On the Workspaces screen, you can select the building or floor to view floor map for those spaces that are available and can be reserved. NOTE: Be sure to select the appropriate floor. Your access may vary depending on building and floor access.

  4. The Reserve a Workspace section will highlight current time period and location information. You can also filter by certain attributes or views.

  5. Select the desired workspace or room to reserve on the floor map or the Reserve button to load the details for the space. NOTE: Zoom Workspace will auto-select a desk or workspace to reserve from available spaces.

  6. On the space's detail screen, verify or adjust the date, start and end times of the reservation.

  7. Select the Custom Recurrence option.

  8. Select the time frame for the reservation on the space's calendar. The Custom Recurrence screen will load and you will be to adjust the time as well as the recurrence for your reservation.

  9. Click the Reserve button to create a recurring reservation for the selected workspace or room.

  10. Congratulations! You have successfully created a recurring reservation using Zoom Workspace on a mobile device.

View, edit, or delete upcoming reservations

  1. Open the Zoom mobile application on your device. 

  1. Select the ... More option before selecting Workspaces.

  2. Select the My Reservations link. Select the Month dropdown menu to view your reservations for a specific month.

  3. Select the ... to interact with your reservation.

  4. Within the menu for the reservation, you can complete the following: 

    NOTE: The Edit Questionnaire option is not enabled and can be ignored.

    1. Get Directions – Select the Get Directions option to review directions (e.g., Wayfinding map) to your reserved space as well as the restrooms or other locations.  

    2. Edit Reservations – Allows you to edit the details of your reservation, then select the Reserve button to commit your changes. 

    3. Delete Reservation – Selecting the Delete Reservation option will delete your reservation, you will receive a confirmation email that your reservation has been deleted.

  1. Open the Zoom mobile application on your device. 

  1. Select the ... More option before selecting Workspaces.

  2. On the floor map, select the reserved space that contains your avatar.

  3. Select the trash can icon.

  4. Select the Delete button to confirm the deletion of the reservation.

  5. Congratulations! You have successfully deleted your reservation. You will receive a confirmation email that your reservation has been deleted.

Check in and out of your reservation

You will need to check into your reservation 15 minutes prior to your scheduled reservation time if it is not currently being used. NOTE: If you do not check in within 15 minutes of the scheduled start time, it will be automatically cancelled, and the space will be made available to other users. 

There are several options for checking in and out of your space reservation. You can scan the QR code at the space when you arrive and leave the space. 

Check in of your reservation

  1. Open the Zoom mobile application on your device. 

  1. Select the ... More option before selecting Workspaces.

  3. The space’s detail screen will load. Select the Check in button.

  4. On the Check in screen, select the Check in option a second time.

  5. Congratulations! You have successfully checked in to your reservation.

 

Check out of your reservation

If you have finished using a reserved space before your reservation concludes, be sure to check-out from your reservation to make the space available to other users.

  1. Open the Zoom mobile application on your device. 

  1. Select the ... More option before selecting Workspaces.

  3. The space’s detail screen will load. Select the Check out button.

  4. On the Check out screen, select the Check out option a second time.

  5. Congratulations! You have successfully checked out to your reservation.
