Description

As a communicator, I am attempting to send a communication to a large amount of users at UCSF through the Staffbase email add-in. When I attempt to access Staffbase from my resource account in the Outlook Web App, the Staffbase add-in does not appear when I select the add-ins icon. The following video and steps to follow will assist you in sending your communication despite the add-in being missing.

Resolution

Sharing the Draft

Prior to sending the draft of your communication from a resource account, it will need to be shared with your resource Staffbase account (e.g. Associated with your @ucsf.edu email address) from your personal account.

  1. Log into Staffbase using your Personal Account's credentials
  2. Select the Email tab
  3. Locate the Draft to be Sent
  4. Select the Vertical Elipsis on the identified draft
  5. Enter your Resource Account's email address into the Select groups or individuals to share with... search box
  6. Click the Invite button
  7. Set the Permissions Level to Edit
  8. Select the Notify by email checkbox
  9. Click the Done button

Sending Your Email Draft From the Resource Account

With your draft shared from your personal Staffbase account, it can now be sent from the resource account to your intended recipients in Outlook.

  1. Log into the Outlook Web App (OWA) using your UCSF credentials
  2. Click the New Mail button
  3. Select the Staffbase icon
  4. Click the Authenticate Account button in the Staffbase Email panel
  5. Select Allow when prompted
  6. Enter your UCSF email address then Next
  7. Enter your UCSF Password then Sign In
  8. Select the Drafts icon
  9. Click the Send Draft icon on the desired draft
  10. Verify that Send Tracked is toggled
  11. Add your recipients in the To:, CC:, or BCC: fields
  12. Select your Resource Account in the From dropdown
NOTE: If you do not see your Resource Account, select the Add New Alias then Add An Account. Enter the Resource Account email address in the Enter New Account to A Send As before clicking Save. It is advised to send a test draft to confirm that there are no issues with the account added.
  13. Add your Subject to the draft
  14. Click the Send Tracked button
  15. Congratulations! You have successfully sent an email in Staffbase
