Automatic Enforcement of OneDrive Sync for UCSF Mac Users
- Effective Date:
Effective on Monday, December 8, 2025, UCSF IT will automatically install the OneDrive Sync folder backup configuration for all UCSF IT-supported Macs. This is a new requirement replacing CrashPlan, as CrashPlan is no longer an available backup solution from UCSF IT, effective December 17, 2025. As OneDrive Sync differs from CrashPlan, we ask all affected Mac users to be aware of the following:
- Archived Emails: Emails archived onto your Mac computers will no longer be backed up by UCSF IT due to technical limitations with Apple Mail and Outlook for Macs that do not offer any options to save archived emails to any folders of your choice.
- Suggested Action: Move all of your archived emails back onto your UCSF email account to allow UCSF IT to back up your emails automatically from there.
- Desktop and Documents Folders Only: With the exception of the OneDrive folder, only the Desktop and Documents folders are part of the OneDrive Sync. All other folders are not reachable by OneDrive Sync. This is a feature of OneDrive by design.
- Suggested Actions
- For applications that allow you to choose where to save data, please consider moving them to your Desktop, Documents, or OneDrive folders.
- For applications that do not allow you to choose where to save data, please consider initiating your own backup onto a password-protected external drive using Time Machine. Time Machine is a built-in feature on all Macs from Apple for self-managed backups of your Mac.

- Your Time Machine backup data is considered outside of all UCSF-managed data centers, in which you are solely responsible for the security and safekeeping of your backup data.
- Per UCSF policy, you must ensure your Time Machine backup is encrypted with a password.
