How to Request Access

Everyone with an active UCSF email address has access to the web version of Microsoft 365 (office.ucsf.edu) applications but a premium license is required for desktop and mobile applications. 

From the UCSF IT Help website, you can request a premium license by following these steps: 

  1. From the IT Website, select the Submit a Ticket option  
  1. Select the Request Specific Services icon 
  1. After the Service Catalog loads, select Accounts, Access & Email  
  1. Select Office 365 Intune License Request 

Description

Microsoft 365 allows access to Microsoft Word, Excel, PowerPoint, OneNote, OneDrive, Teams and Outlook from any device, anywhere. UCSF's Microsoft 365 tenant is HIPAA-compliant and all files containing Protected Health Information (PHI) will be encrypted. 

Teams, OneDrive and OneNote are being pushed to UCSF-supported computers. NOTE: To install Office 365 desktop applications on your personal computer please follow these instructions. 

Mobile apps are available! To get started with Microsoft 365 mobile apps Enroll Your Mobile Device in Intune Company Portal.

NOTE: Each Microsoft 365 application has a different sign-in frequency, the following page highlights the sign-in frequency setting for each application and client. Learn more about Microsoft 365 Idle Session Times.

Benefits

  • Work collaboratively with your team, including simultaneous editing of Office documents in Word, Excel and PowerPoint. NOTE: Due to the nature of encryption, encrypted files in Microsoft 365 cannot be worked on simultaneously. 
  • Upload and work with your files from anywhere on any device including those with PHI. 
  • Share links, not files. This way you will always know where the latest version is and who was the last to edit. 
  • Connect to OneDrive and work completely in the cloud without local copies of files floating around. 
  • Reduce your relianace on email by using Teams chat and create dedicated chat channels to resolve questions quickly . 
  • Host casual meetings to quickly discuss topics or share information with your colleagues.

Microsoft OneDrive allows secure document storage, sharing and collaboration, allowing multiple team members to edit a document simultaneously.  
 
Microsoft Teams is the hub for teamwork in Microsoft 365. In Teams, you can direct message, conduct online meetings and collaborate, in real time within Microsoft 365. 

NOTE: Files with UCSF PHI are protected but take care not to share restricted data in Teams with unauthorized users.

To access Microsoft 365, you will need a web browser (Google Chrome or Microsoft Edge are recommended for the best experience) and a UCSF email address.
