BCH Oakland - Personal Print Manager (PPM) Quick Setup Guide

Secure print is a term for printing tasks that meet a standard for privacy to prevent the unauthorized use of printed information. Secure print protects PHI and meets the guidelines of the new Health Insurance Portability and Accountability Act (HIPAA) rules that all shared devices on healthcare networks require authentication. 

The Personal Print Manager (PPM) software from LRS integrates with the VPSX print server to allow end users to quickly and easily manage their secure print jobs.

IMPORTANT NOTE: Documents sent to the secure print queues will require using your badge at the printer to retrieve the document. (Only Ricoh printers with a badge reader support this.)

Currently at BCH Oakland, PPM is only used for secure print and oakvepicwps01 is used for direct print, where no authentication is required to release print jobs.  As per the Print & Acquisition Management policy, we are preparing for Secure Print to be the default printing option.

PPM Setup Guide

  1.  From your Start menu, type Personal Print Manager, and then select Personal Print Manager

    NOTE: If you haven’t opened Personal Print Manager on this computer before, you will see the following screen. On the left, there is an important reminder about how to log into PPM. For Oakland users, use CORE domain credentials (e.g. saulsc@core.in.cho.org).

  2.  Click the Continue With Browser button to proceed.
  3.  A browser window will open with user ID and password prompts. Log in with the proper credentials (as mentioned in the first PPM screen).
    NOTE: Leave the 'Use Windows session authentication' box unchecked.

  4.  If you see the This site is trying to open Personal Print Manager dialog box, be sure to check the box and click Open.

  5.  The Personal Print Manager main window will open, and you will see the SECURE_PRINT queue under MY PRINTERS, which is installed by default.

  6.  You have successfully logged into PPM!


Printing via Secure Print

  1. Select SECURE_PRINT-VPSXPRD from the printer list of any document or system you want to print.
    NOTE: If you have not yet logged into PPM on the computer you are printing from, you will be prompted to log in.  Follow the instructions in the PPM Setup Guide above.
  2. Swipe your registered badge on a VSPX-supported printer that has a badge reader available.  See KB?? Ricoh Badge Enrollment Instructions
  3. Select Secure Print on the Home Screen of the printer and choose the prints you would like released.

NOTE:  If you need to use direct print, and do not see the printer on your choice list, click Find a New Printer and search by location or printer name to add it.
