Available IT Desktop Field Services and AV support options for conferences, meetings, and special events

Introduction

IT Desktop Field Services (IT-DFS) and Audiovisual (AV) Services provide reliable, end-to-end technical support for conferences, meetings, and special events across our sites. Whether you need basic setup assistance or full onsite event support, our teams are here to help ensure a smooth and successful experience.

Conference & Special Event Support

IT-DFS offers conference and special-event support at an hourly project rate of $127 per staff hour. All billable requests require prior department authorization, and requests should be submitted at least 2 weeks in advance.

  • After-hours support (before 8:00 AM or after 6:00 PM) is billed at time-and-a-half
    Example: A 4-hour event will be billed as 6 hours of support
  • Support is subject to the availability of IT-DFS and AV staff and resources

Complimentary Basic Setup

Basic assistance requiring 15 minutes or less is provided at no cost.
This typically includes:

  • Connecting a laptop in a conference room
  • Assisting with joining a Zoom meeting

These requests are generally handled by IT-DFS.

AV Supported Events

Larger or more complex events held in conference rooms or auditoriums are typically supported by the AV Team. Our experienced technicians provide reliable onsite support to ensure your event runs smoothly.

To support a successful event, departments must provide an event moderator responsible for:

  • Managing the event flow
  • Advancing presentations
  • Supporting Zoom participants (e.g., admitting attendees, muting/unmuting, spotlighting speakers)

The AV Team is responsible for ensuring all room technology—including microphones, cameras, speakers, and display connections—is fully functional and supported throughout your event.
